Scenario 1 - Creating an
Invoice
Open your Formitize Invoice Form (or
have an invoicing section added to one of your other
Formitize Forms). In the Customer Name field start typing
the customer’s name, the field will auto-populate with
predictive text from the look-up to your Xero Customer
database. Select the customer and all related fields will be
auto-populated in the form.
When you get to the Line Item section of the invoice, start typing either Product Item Code or product Description keywords and the auto-lookup will populate with available products. Select the correct Item and all related detail will be populated into the Invoice Form including Item Code, Description, Account, Tax Rate, and Sales Price - so the only item to add is the Quantity and the invoice is complete.
Hit Submit and the magic happens – the customer receives a customizable PDF version of the invoice and all related data is updated instantly in Xero. Purchase Orders, Expense Claims, and Customer Detail Changes are prepared in the same way.

Scenario 2 - Creating a Quotation in the Field
with photos and signatures
Technician in the
field is asked for a Quotation by a client. The technician
opens up the Formitize On-Site Quotation Form. The
Customer’s contact details all auto-populate from Xero.
The Quotation Line Items also pull automatically from Xero
with the item Description, Item Number, and Sales Price –
the technician just needs to add the quantity for each line
item added (including hours).
Once complete, the technician hits “Submit” on the App and the customer instantly receives a customizable Quotation email with the PDF attached. A copy of the Quotation is also sent instantly to the Sales Manager with a customizable email address and email subject to enable automatic storing of the Quotation.
Example 3 - Creating a
“Pre-Delivery Confirmation” in the Warehouse with photos
and signature
Your warehouse packer enters the
Order Number into the Formitize PDC form. The form pulls in
all details related to the order from Xero. The shipment is
prepared. A photo is taken of the shipment. The packer signs
off as complete and hits submit on the Formitize PDC
Form.
The customer instantly receives customized Pre-Delivery Confirmation email with PDF attached. The PDF provides a time and date stamped confirmation with a “Thank you for your Order” message, a photo of the shipment and a personalized signature by the packer.
