Toyota Motor Corporation Australia Gets into Gear with Promapp

Sydney, 22 August 2016 – Promapp Solutions has announced that Toyota Australia has gone live with its industry leading cloud-based process management software in a strategy designed to underpin the company’s transition to a national sales and distribution company from 2018.

The decision to deploy Promapp forms part of Toyota Australia’s drive for constant improvement, the key principle that guides the organisation in its commitment to deliver more to its guests.

Promapp will assist the organisation’s efficient capture of knowledge as job roles change and the company transitions to a national sales and distribution operation with the consolidation of corporate functions in Melbourne during 2018.

“We reviewed several solutions but selected Promapp based on its business centric approach to managing processes. Its standout feature is clearly its ease of use with single sign on functionality. At the same time, being available in the cloud will also enable us to scale its use as our business undergoes transformation in the next few years”, says Trent Delardes, Project Manager - Strategic Projects, Toyota Australia.

Promapp helps organisations create and manage business processes online. Being easy to use and a fully web based tool, process changes are completed and approved online, in the cloud. The aim is to ensure that all staff have access to all the information they need and understand how it can be used to facilitate their role.

Promapp will enable Toyota Australia to turn knowledge currently held in static Visio charts and procedure documents currently held in Word or Excel files into clean, simple process maps that everyone can follow and access. It will also help to mitigate risk, enabling the company to capture processes for subsequent operational improvement at the same time as staff functions change and new teams are deployed.

“We didn’t previously have a holistic system for managing processes and only used Visio when we needed to map processes on a project by project basis. Moving forward, we determined that Visio was counter-productive to what we wanted to achieve”, says Delardes.

Once fully deployed across the organisation, Promapp will capture critical end to end business processes across different team functions, including vehicle pricing, vehicle launches, finance, purchasing, fleet sales, and technical services. It will also help to rapidly train new staff on an ongoing basis.

“We know with Promapp that we’ll be able to capture information and make it accessible across functions, providing everyone with a strong foundation to work from. We’ll also be able to capture existing processes and record new ones, and help keep staff engaged with the overall business. However, the real change will be in educating teams on process mapping and how we as an organisation can define processes consistently. We’ll eventually have a consistent approach to managing processes which everyone in the business can use”, says Delardes.
